Job Description Summary
The History and Sociology of Science Department Administrator oversees the daily operations of the department while coordinating and delegating tasks related to all department events, both large and small, maintaining an extensive budget, and compiling information for several year-round faculty governance related processes. Daily interaction with undergraduates, graduate students, faculty, and staff within our department, and other departments at Penn along with outside colleges and universities is required for this role. The Senior Department Administrator supervises and coordinates the daily activities of work-study students, two undergraduate majors, and two minors, and is instrumental in facilitating graduate admissions, and workshop organization. This position is responsible for compilation of dossiers for all faculty actions (recruitment, reappointments, promotions, and leaves). Maintains, verifies, and updates all department records, organizes data for reports. Oversees department and building maintenance and facility requests, and handles all faculty foreign visa applications, and processes and reimbursements for faculty and guests. The Department Administrator is the first point of contact for new and incoming faculty, and visitors, and is responsible to ensuring they have a smooth transition into Penn and our department.

This position reports to the SAS Deputy Director of Regional Administration, but solely supports of the History and Sociology of Science department.

Job Description

The Department of History and Sociology of Science, with fifty-plus year's history of accomplishment at the University of Pennsylvania, uses the tools of the humanities and social sciences to study science, technology, medicine, and the environment. Through a broad range of scholarly projects, faculty research examines and elucidates the relations between the technical practice of scientists, engineers, medical researchers, and clinicians, and the material, social, political and cultural context in which those practices occur.


Serving as the primary contact for the department, this position performs a variety tasks on behalf of the department chair and faculty, and is heavily involved in event coordination, providing financial support to faculty and students, and working alongside the Associate Director of Undergraduate Studies to maintain the undergraduate program. The Senior Department Administrator also interacts with vendors, handles service requests for the department; assists with department workshops, talks, and meetings (audio visual, catering, set up/clean up, and travel arrangements for guests); and other duties as needed. This position requires a highly-organized individual with excellent written and verbal communication skills who is able to respond to requests in a flexible manner, possesses the ability to work independently, and can handle multiple tasks at once.


Bachelor's degree with 2 to 3 years of experience years, preferably in a higher education institution, or equivalent combination of education and experience is required. The position requires excellent management, organizational, interpersonal and communication skills. Attention to detail with the ability to work on multiple tasks and projects required. Must be proficient in Microsoft Office, including Word, PowerPoint, Outlook and Excel. Prior experience working with faculty, staff, students and coordinating events, both large and small, is preferred. Experience with web development applications, Concur, Penn web systems (NGSS, Curriculum Manager, Penn Marketplace), is highly desired. Successful candidate must have strong organizational skills and be able to work independently.
